At Halogen AI, we are committed to your satisfaction with our B2B SaaS platform. This Refund Policy outlines the terms and conditions under which refunds may be requested and processed for our subscription services.

2. 14-Day Money-Back Guarantee

2.1 Eligibility

We offer a 14-day money-back guarantee for all new subscriptions, including:

  • Starter Plan ($49/month)
  • Team Plan ($149/month)
  • Agency Plan ($299/month)
  • Add-on organizations ($200/month per organization)

2.2 Guarantee Period

The 14-day guarantee period begins on the date your initial payment is processed and your subscription becomes active. This guarantee applies to:

  • First-time subscribers only
  • Both monthly and annual subscription plans
  • The initial subscription period only (not applicable to renewals)

2.3 How to Request a Refund

To request a refund within the 14-day guarantee period:

  1. Submit a written request via email to support@halo-gen.ai
  2. Include your account information and subscription details
  3. Provide a brief explanation of the reason for your refund request (optional but appreciated for service improvement)

3. Refund Conditions and Restrictions

3.1 Eligible Refunds

Refunds may be issued for:

  • Requests made within the 14-day money-back guarantee period
  • Service unavailability exceeding our Service Level Agreement (if applicable)
  • Billing errors (defined as duplicate charges, incorrect amounts charged, or charges after confirmed cancellation)
  • Unauthorized charges that are reported within 60 days
  • Termination by Halogen AI without cause

3.2 Non-Refundable Circumstances

Refunds will NOT be issued in the following circumstances:

  • Requests made after the 14-day guarantee period
  • Violations of our Terms of Service or Acceptable Use Policy
  • Extensive API usage, defined as:
    • Exceeding 80% of your plan's documented API call limits
    • API usage is measured through our system monitoring tools
    • Usage metrics are available in your account dashboard
  • Accounts terminated due to fraudulent activity or abuse
  • Partial month refunds for cancelled monthly subscriptions after the guarantee period
  • Add-on services used beyond the guarantee period
  • Custom development or professional services (if applicable)
  • Failure to use the service or dissatisfaction after the guarantee period

4. Refund Processing

4.1 Refund Amount

  • Within 14-day guarantee: Full refund of all fees paid
  • Annual plans cancelled early (after 14 days): No refund for unused months
  • Billing errors: Full refund of erroneous charges only
  • Service unavailability: Prorated credit or refund for documented downtime exceeding SLA

4.2 Processing Time

  • Refund requests will be reviewed within 3 business days
  • Approved refunds will be processed within 5-10 business days
  • Refunds will be issued to the original payment method
  • You will receive email confirmation when your refund is processed

4.3 Account Termination

Upon refund approval:

  • Your account will be immediately deactivated
  • Access to all features and data will be suspended
  • You will have 90 days to request data export before permanent deletion
  • Data export requests must be submitted to support@halo-gen.ai
  • After 90 days, all data will be permanently deleted in accordance with our data retention policy

5. Subscription Cancellations

5.1 Cancellation Process

You may cancel your subscription at any time through your account dashboard or by contacting support@halo-gen.ai. Cancellation requests must be received at least 3 business days before your renewal date to avoid charges for the next billing period.

5.2 Effect of Cancellation

  • Monthly subscriptions: Service continues until the end of the current billing period
  • Annual subscriptions: Service continues until the end of the prepaid term
  • No partial refunds for unused time after the 14-day guarantee period

6. Payment Failures and Grace Period

6.1 Failed Payment Grace Period

In the event of a failed payment:

  • You will receive immediate email notification of the payment failure
  • A grace period of 5 days will be provided to update payment information
  • We will attempt to process payment again on days 2 and 4 of the grace period
  • Email reminders will be sent 24 hours before account suspension

6.2 Account Suspension

If payment is not received within the 5-day grace period:

  • Your account will be temporarily suspended
  • Service can be restored immediately upon successful payment
  • Accounts suspended for more than 30 days may be permanently terminated

7. Disputes and Chargebacks

7.1 Dispute Resolution

We encourage customers to contact us directly at support@halo-gen.ai before initiating any chargeback or dispute with their financial institution. We will work in good faith to resolve any billing concerns within 5 business days.

7.2 Arbitration Agreement

Any dispute arising out of or relating to this Refund Policy or our services shall be resolved through binding arbitration in accordance with the Commercial Arbitration Rules of the American Arbitration Association. The arbitration shall be conducted in Delaware, and judgment on the award may be entered in any court having jurisdiction. Each party shall bear its own costs and attorneys' fees. This arbitration agreement does not preclude either party from seeking injunctive relief in court for intellectual property infringement or breach of confidentiality obligations.

7.3 Chargeback Consequences

Accounts associated with chargebacks may be:

  • Immediately suspended pending investigation
  • Permanently terminated if the chargeback is deemed fraudulent or unjustified
  • Subject to collections for any outstanding amounts owed
  • Prohibited from future service subscriptions

8. Special Circumstances

8.1 Enterprise Agreements

Custom enterprise agreements may contain different refund terms. In case of conflict, the terms in your signed enterprise agreement will prevail over this general policy.

8.2 Promotional Offers

Special promotional pricing or discounts may have modified refund terms, which will be clearly stated at the time of purchase. Unless otherwise specified, promotional subscriptions are subject to the same 14-day guarantee.

8.3 Service Credits

In lieu of refunds, we may offer service credits for:

  • Minor service disruptions
  • Feature limitations
  • Customer retention purposes

Service credits have no cash value and expire after 12 months if unused.

9. Policy Modifications

Halogen AI reserves the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. We will notify active customers via email of material changes at least 30 days before the effective date. Continued use of our services after any modifications indicates acceptance of the updated policy.

12. Severability

If any provision of this Refund Policy is held to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
